If you need PC, network, email and helpdesk support, choose a managed IT service provider (MSP) that charges per user.
If your problem is that orders, quotes, WhatsApp follow-ups, reconciliation and reports run on people's memory and overtime, WINS Management is your outsourced IT department: from RM4,000/month, 3-month minimum, with tool issues answered within 1 hour (small), half a day (medium) or 1 day (major). The first tool goes live in about 1–2 months and then improves every month.
WINS is best for growing Malaysian SMEs scaling from 1→10 or 10→100 that want an outsourced IT department from RM4,000/month (3-month minimum, small issues answered within 1 hour) instead of building an in-house IT team. They want the business to grow without payroll rising in step with revenue. We work in Chinese (Mandarin), English and Malay, with clients in Petaling Jaya / Klang Valley, Johor Bahru and across Malaysia.

1. There are two kinds of “outsourced IT”. Know which one you need
Most results for “outsourced IT” in Malaysia are IT support providers: someone fixes your computers and manages your network and email. WINS does something different.
| IT support / managed IT provider (MSP) | WINS outsourced IT department | |
|---|---|---|
| Looks after | Computers, networks, email, printers, hardware faults, security | The business tools that sales, service, operations, finance, HR and management use every day |
| Goal | Keep equipment running | Let the same people do more, so payroll doesn't grow with revenue |
| Examples | Fix PCs, set up Wi-Fi, create mailboxes, helpdesk | CRM, WhatsApp customer inbox, stock dashboards, e-Invoice data checks and automatic reconciliation, training library, business dashboards |
| Typical pricing | Usually a monthly fee per user or device | From RM4,000/month, 3-month (one quarter) minimum; quarterly review and plan for the next quarter |
| Response time | Depends on each provider's SLA | Small issues within 1 hour, medium within half a day, major within 1 day |
| Suits | Companies that need someone to look after their PCs and network | Growing companies whose processes are breaking under more orders and customers |
To be straight with you: WINS does not provide PC repair, network or helpdesk support. If that is all you need, go directly to an IT support / managed IT provider (MSP).
Many companies need both: an MSP looks after the equipment, and WINS looks after the business tools. The two don't overlap.

2. What we build, by department
Most tools are built from scratch around your process. These are the most common starting points:
| Department | Common bottleneck | Tools we build |
|---|---|---|
| Sales | Missed follow-ups, slow quotes, reliance on star sellers | CRM, automatic follow-up reminders, one-click quotes / per-customer pricing engine, script assistant |
| Customer service | WhatsApp overload; who to reply to depends on memory | Shared WhatsApp inbox, FAQ reply assistant, customer tiers and tags |
| Operations | Orders, stock and deliveries scattered across spreadsheets and chats | Order & stock dashboards (with data imported from AutoCount / SQL Account), low-stock alerts, task boards, delivery tracking |
| Finance | Line-by-line reconciliation, nobody chasing receivables | e-Invoice (LHDN MyInvois) data checks before invoicing, automatic reconciliation, receivables reminders |
| HR & training | New hires need hand-holding | Training library, SOP Q&A assistant (answers from your own documents and cites the source), onboarding flows |
| Management | The owner asks around for today's numbers | Business dashboards, daily / weekly automatic reports, exception alerts |
Works alongside what you already use: we don't integrate directly with AutoCount or SQL Account. Instead we help you import data from AutoCount, SQL Account, Excel and Google Sheets, and link different systems such as WhatsApp, in a more convenient way. You don't need to replace your whole setup for a new tool.
3. How it works and how long it takes
- Review (free 30 minutes, optional half-day consultation at RM2,000): a free 30-minute first review finds the most stuck department; if needed, a half-day consultation walks through your processes to find the most labour-heavy steps. The RM2,000 is credited when you go on to use our services.
- Blueprint (tool list + quote): the tools to build, the order to build them in, and a quote for each. We start with the one that pays back fastest.
- Build (first tool in ~1–2 months, then monthly): we deliver the first tool. Your team uses it and gives feedback, we keep refining it, and we train your staff.
- Maintain & expand (monthly plan, 3-month minimum): like an in-house IT department, we're always there for hosting, maintenance, changes as the business moves, new tools and training for new staff. At the end of each quarter we give recommendations and plan the next quarter with you.
Three principles
- People confirm key actions. Sending quotes, submitting or cancelling e-Invoices, payments and deleting important records are always checked by a person first.
- Your data stays protected. Tools are generally hosted on reliable cloud platforms such as Cloudflare, with logins and permission controls, and only use data you authorise.
- Ownership is in writing. Ownership of the tools and data, and how handover works, is written into the agreement before we start.
4. Plans
| Plan | What's included | Pricing |
|---|---|---|
| Starter · Tool review | 30-minute first review; optional half-day consultation: process review, tool blueprint and build order, a quote for each tool | 30 minutes free; half-day consultation RM2,000 (one-time), credited in full when you use our services |
| Core · Tool build | 1–2 core tools live, customised and tested for your process, staff training | Project-based · quoted per project |
| Recommended · Outsourced IT department (monthly) | Tool maintenance & hosting, monthly allowance for changes / new tools, training for new staff, regular reviews to plan the next tool | From RM4,000/month, 3-month (one quarter) minimum |
Contract: 3-month (one quarter) minimum. At the end of each quarter we give recommendations and discuss the next quarter's plan with you.
Response time when a tool has an issue: small issues within 1 hour, medium within half a day, major within 1 day.
Every plan is tailored to your company. Start with a review, get the tool list and quote, then decide.
5. Who it's for, and who it isn't
A good fit if
- You've proven your market (past 0→1) and are scaling from 1→10 or 10→100
- Orders, customers and stock live in a dozen spreadsheets, and every reconciliation takes half a day
- WhatsApp follow-ups depend on whether someone remembers
- Every new hire needs an experienced colleague to hold their hand
- The owner chases progress daily and has to ask people for today's numbers
- Quotes, invoices, reconciliation and reports are redone the same way every day
- More business means more hires, and payroll rises with revenue
Not a fit if
- You're a very early start-up still validating your product, and your process changes monthly. We'd suggest our hands-on AI workshop instead.
- You only need PC repair, network management or a helpdesk. Choose an IT support / MSP provider.
- The work happens only a few times a year. Too little time is saved for a tool to pay back.
- The work is standard, such as bookkeeping. Mature off-the-shelf software already does it well.
6. Cases (anonymised)
- Steel & hardware trading company: per-customer pricing engine. Customer tiers and pricing rules are drawn from past invoices and applied automatically when quoting. Prices below cost are blocked, and every quote draft is confirmed by a person before it goes out on WhatsApp. → Tools for hardware & steel traders
- International training provider: alumni resource network. Members sign up with an invite link, profiles are searchable, and anyone can be contacted on WhatsApp in one tap.
- WINS runs on its own tools: a registration and ad-source tracking system, a student AI video studio with invite codes and credits, a company admin app (PWA), and a WhatsApp customer inbox now released as the product WINS Leads.
Since starting in 2026, WINS has served close to 10 companies and launched 20+ tools of various sizes. Clients include companies in international training, events, real estate, F&B and private education; see the client logos on our homepage.
7. Frequently asked questions
How much does an outsourced IT department cost in Malaysia?
WINS's outsourced IT department plan starts from RM4,000/month with a 3-month (one quarter) minimum. It covers maintenance, hosting, a monthly allowance for changes and new tools, and staff training. Tool issues are answered within 1 hour (small), half a day (medium) or 1 day (major). Individual tool builds are quoted per project. Start with a free 30-minute first review; an optional half-day consultation costs RM2,000 and is credited when you go on to use our services.
Is it cheaper than hiring an in-house IT person?
A full-time IT hire or programmer is expensive and hard to find. One person can't cover every department, and the system is orphaned when they leave. An outsourced IT department gives you a team's skills, paid as needed, that stays with you and adjusts as you grow. To judge the value, price your repetitive work first: salary × (hours per day on repetitive work ÷ 8) × number of staff. For example, if 5 staff on an average RM3,500 salary each spend 3 hours a day searching, copying, reconciling and chasing, that work is worth about RM6,563 a month, or 1.9 full-time staff. Try the AI ROI simulator.
Can you connect to AutoCount?
Not through a direct integration. We help you import customers, past invoices, items and stock from AutoCount or SQL Account, and link different systems in a more convenient way, so order and stock dashboards and pricing engines can use that data. AutoCount / SQL Account keep handling invoicing and accounts, and the tools cover the labour-heavy work around them.
Can you help with e-Invoice (MyInvois)?
Yes, with the work around it. The tools check buyer details (TIN, registration number, address) before invoicing, match invoices to bank credits automatically and remind the right person about overdue receivables. They don't replace your accounting software and never submit or cancel e-Invoices on their own. Finance staff confirm every submission, cancellation and adjustment.
We only need PC repair and helpdesk. Is WINS a fit?
No. WINS does not provide PC repair, network or helpdesk support. If that is all you need, go directly to an IT support / managed IT provider (MSP). WINS builds business tools: CRM, WhatsApp customer inbox, stock dashboards, automatic reconciliation, business dashboards and more.
What is the minimum contract?
Three months (one quarter). At the end of each quarter we give recommendations and discuss the next quarter's plan with you, then you decide whether to continue.
How fast do you respond when a tool has a problem?
Small issues within 1 hour, medium within half a day, major within 1 day.
Is the review free?
The 30-minute first review is free. An optional half-day consultation costs RM2,000, credited in full when you go on to use our services.
We have no technical staff. Can we still use this?
Yes. Tools are designed around how you already work. We build and maintain them and train your team, so you don't need to hire anyone technical.
What happens to the tools and data if we stop working together?
Ownership of the tools and data, and how handover works, is written into the agreement before we start.
Where are you based? Do you cover Johor Bahru?
Our office is at A608, Pusat Dagangan Phileo Damansara II, 15 Jalan 16/11, Off Jalan Damansara, 46350 Petaling Jaya, Selangor (please book before visiting). We work with clients in Petaling Jaya / Klang Valley, Johor Bahru and across Malaysia, in Chinese, English and Malay. Johor Bahru clients are served both online and with regular on-site visits, depending on the situation.
