These tools do three things for finance: check data before an e-Invoice is issued (for example the buyer’s TIN, registration number and address); match invoices to bank credits automatically, flagging mismatches for a person; and remind the right person about overdue receivables. They don’t replace your accounting software, and never submit or cancel e-Invoices on their own — submission, cancellation and adjustments are always confirmed by a person. Not sure when your company must adopt e-Invoice? Start with the WINS e-Invoice check (Chinese).
1. Who it’s for
- Malaysian companies that have adopted, or are about to adopt, e-Invoice (LHDN MyInvois)
- Businesses with many documents each month, reconciled by hand against bank statements
- Companies with many customers on credit whose overdue receivables go unchased
- Finance teams of one or two people who work late at month-end
2. Common bottlenecks
- Reconciling line by line by hand
- Invoicing and preparing e-Invoice data take too long, and buyer details are often incomplete
- Nobody chases receivables, so money comes in late or not at all
- Expense documents pile up until month-end
3. What the tool does
- e-Invoice data checksBefore invoicing, check that buyer details (for example TIN, registration number, address) are complete, and flag what’s missing — fewer rejections and less back-and-forth.
- Automatic reconciliationInvoices matched to bank credits by amount, date and reference; matches marked, mismatches set aside for a person.
- Receivables remindersReminders by due date and ageing to the person who collects, with reminder messages drafted for a person to confirm.
- Expense categorisingReceipts and expense documents sorted into your accounts first; finance confirms before posting.
- Reconciliation reportWhat matched this month, what’s off and what’s pending, on one page.
4. How it connects to what you already use
| Existing system / data | How it connects |
|---|---|
| Accounting software (e.g. AutoCount) | Reads invoices, customers and receivables. e-Invoices are submitted the way you already do it (accounting software or MyInvois); the tool handles the data checks before and the reconciliation after. |
| MyInvois (LHDN) | The tool helps prepare and check data; submission and cancellation are carried out by finance staff. |
| Bank statements | Statements exported from your bank (CSV / Excel) are imported for matching. |
| Excel / Google Sheets | Existing receivables and expense sheets can be imported. |
5. What always stays with a person
- Submitting or cancelling e-Invoices, adjusting entries and write-offs are always confirmed by finance
- Mismatches and unmatched items are never resolved automatically — they go to a person
- Collection reminders are sent only after a person checks the list and content
- Access to financial data is set by permission, as you require
6. How WINS builds it
The first tool usually goes live in days to weeks, depending on complexity. Pricing depends on each tool: start with a review to get the tool list and a quote for each item, then decide.
Frequently asked questions
Can this replace our accounting software?
No, and it doesn’t need to. Your accounting software keeps handling the books and invoicing; this tool does the labour-heavy parts accounting software isn’t good at — data checks before invoicing, matching invoices to bank credits, and receivables reminders.
Will the tool submit e-Invoices automatically?
No. Submission and cancellation are carried out after finance confirms; the tool prepares and checks the data.
We’re not sure when e-Invoice applies to us. Is it too early?
Start with the e-Invoice check on the WINS website to see when it applies to you. Even before then, reconciliation and receivables reminders save month-end hours on their own.
Is our bank and financial data safe?
The tool uses only the data you authorise, with logins and permission controls; who can see financial data is set to your requirements. Ownership of the tool and data, and how handover works, is written into the agreement before we start.
