A sales CRM and follow-up tool brings customers scattered across WhatsApp, Excel and salespeople’s memory into one pipeline, reminds the right person when to follow up, and drafts quotes in one click from customer tiers and pricing rules. WINS builds it around your current sales process and connects to Excel, Google Sheets or AutoCount where possible — no need to replace your whole setup. Every quote is confirmed by a person before it goes out. The first tool usually goes live in days to weeks, priced by complexity.
1. Who it’s for
- Companies with several salespeople whose customers come in via WhatsApp, phone or trade fairs
- Trading, wholesale and B2B service companies whose quotes vary by customer tier, quantity or past prices
- Owners who want to know “which deals are open this month and where they’re stuck” without asking each rep
- Teams that tried an off-the-shelf CRM, found the fields and flow didn’t fit, and drifted back to Excel
2. Common bottlenecks
- Leads go cold before anyone follows up
- Quotes mean digging through old orders and price lists
- Results depend on one or two star sellers — when they leave, their customers leave too
- Every rep keeps their own spreadsheet; managers can’t see the whole picture
3. What the tool does
- Customer pipelineEnquiries, quotes and deals in one list, by stage (new enquiry → quoted → following up → won / lost).
- Automatic follow-up remindersA quote with no reply after a few days, a regular customer who hasn’t ordered in a while — the right rep is reminded, by rules you set.
- One-click quotesPricing rules applied by customer tier, quantity and past prices to draft a quote; prices below cost are blocked.
- Sales script assistantCommon replies, product selling points and objection handling, organised so new hires can keep up.
- Manager viewHow many deals each rep holds, which stage they’re stuck at, and which customers haven’t been contacted for too long.
4. How it connects to what you already use
| Existing system / data | How it connects |
|---|---|
| Excel / Google Sheets customer lists | Import your current list first; keep the Sheet as an input if you like, or maintain it in the tool. |
| AutoCount | Read customer records, past invoices and prices to tier customers and inform quotes. Connected directly where possible; otherwise imported from regular report exports. |
| Open the customer chat in one tap with the quote draft ready. For a shared team inbox, see the WhatsApp customer inbox. | |
| Your current quote format | Your quote layout and terms stay as they are. |
5. What always stays with a person
- A rep confirms every quote before it goes out — the tool never sends quotes to customers on its own
- Pricing rules and discount limits are set by the owner or a manager, and changes are logged
- Reminders are only reminders — whether and how to follow up is still the rep’s call
6. What we’ve built
A steel and hardware trading company uses a per-customer pricing engine built by WINS: customer tiers and pricing rules are drawn from past invoices and applied automatically when quoting, prices below cost are blocked, and every quote draft is confirmed by a person before it goes out. WINS’s own registration and source-tracking system also puts sign-up forms, ad sources and back-office follow-up in one flow, so every registration shows where it came from and who is following it up.
7. How WINS builds it
The first tool usually goes live in days to weeks, depending on complexity. Pricing depends on each tool: start with a review to get the tool list and a quote for each item, then decide.
Frequently asked questions
We already keep customers in Excel. Do we need a CRM?
If one or two people use it and there aren’t many customers, Excel is enough. Once you have more reps, follow-ups start slipping and managers have to ask for updates one by one, it’s worth turning the list into a tool with stages and reminders. Your existing Excel can be imported.
How is this different from off-the-shelf CRM software?
Off-the-shelf CRMs have many features, but their fields and flow are generic, so teams often bend to the software and pay per seat. WINS builds only what your sales process uses and adjusts it as the business changes. If your process is standard and packaged software already fits, use that.
Can it use our AutoCount customer and price data?
Where it can connect directly, it does; otherwise we start with regular report exports. The exact approach is confirmed during the tool review, based on your version and data.
How soon can we use it, and what does it cost?
The first tool usually goes live in days to weeks, depending on complexity. Pricing depends on each tool’s complexity: start with a review to get the tool list and a quote for each item, then decide what to build.
