A training library puts your SOPs, processes, product information and training videos in one place. An SOP Q&A assistant lets staff simply ask “how do I process a return?” and answers from your own SOPs, citing which one — if it isn’t in the material, it says so instead of making something up. Add onboarding flows and skills checklists, and managers can see how far each new hire has got. Best for companies that are hiring, opening branches or adding teams. No written SOPs yet? Start by collecting the questions people ask most.
1. Who it’s for
- Growing companies with new hires joining regularly
- Companies adding branches or teams, where ways of working start to drift apart
- Businesses where know-how lives in the owner’s and veterans’ heads, not on paper
- Teams whose SOPs exist but are scattered across Google Drive, WhatsApp groups and paper
2. Common bottlenecks
- New hires take too long to ramp up and need a veteran beside them
- Know-how lives in veterans’ heads and leaves with them
- The same questions every day
- Training happens, but nobody knows whether it stuck
3. What the tool does
- Training librarySOPs, flowcharts, product information and training videos organised by department and role.
- SOP Q&A assistantStaff ask in their own words; the assistant answers from your material and cites the source. If it isn’t there, it says so and suggests who to ask.
- Onboarding flowWhat to learn and do on day 1, week 1 and month 1, step by step.
- Skills checklistShort quizzes or hands-on checks after each lesson; managers see who has passed and who hasn’t started.
- Knowledge gapsQuestions asked often but not answered by your material are collected for managers to turn into SOPs.
4. How it connects to what you already use
| Existing system / data | How it connects |
|---|---|
| Google Drive / Word / PDF | Existing SOPs and documents are imported as they are — no rewriting. |
| Training videos | Added to the library and arranged by course and role. |
| Common Q&A from WhatsApp groups | Turned into FAQs and added to the library. |
| No SOPs yet | Start by interviewing senior staff and collecting the most-asked questions, then write the most important few first. |
5. What always stays with a person
- The assistant answers only from material your company provides, with sources; it won’t invent answers
- SOP content is reviewed by a manager before it goes into the library, and changes are logged
- For decisions about customers, pricing or leave, the assistant explains the policy; the decision stays with the responsible person
- Who can see which material is set by role
6. How WINS builds it
The first tool usually goes live in days to weeks, depending on complexity. Pricing depends on each tool: start with a review to get the tool list and a quote for each item, then decide.
Frequently asked questions
We have no written SOPs. Can we still do this?
Yes. Many companies start here: turn the most-asked questions and senior staff’s ways of working into a few SOPs, then build up. The tool also lists questions people ask that the material can’t answer yet.
What if the AI gets an answer wrong?
The assistant answers only from your company’s material and cites the SOP it used, so staff can open it and check. If the material doesn’t cover it, it says so rather than inventing an answer. The SOPs themselves are reviewed by managers.
Could our material leak?
The tool uses logins and permission controls and only the material you authorise; which roles see what is set to your requirements. Ownership of the tool and data is written into the agreement before we start.
How is this different from an off-the-shelf training platform?
Packaged platforms are good for hosting courses, but your content and Q&A have to fit their format. A custom library follows your roles and processes, and the assistant answers from your own SOPs.
Are senior staff too busy answering questions to do their own work?
A 30-minute tool review finds where your know-how is scattered and which material or tool to start with.
